Turn every service visit into a better equipment record

Give technicians useful history, keep the office current and route supported upgrade findings to the account owner.

The relationship continues after commissioning. Your technician may see a recurring fault, a capacity constraint or a changed production requirement long before it reaches the sales team. Keep that observation connected to the machine and customer.

Start with an organized installed base.

Identify each unit by brand, equipment type, model, serial, customer and site. Include inherited equipment as well as equipment your dealership supplied. Keep commissioning, warranty and service history attached to the same asset.

Put the relevant work in the technician’s hands.

Show the appointment, assigned task, configuration, earlier findings and agreed coverage before arrival. Capture the visit findings, work performed and time with the equipment record. Make the save state explicit so nobody mistakes an unsaved note for a completed report.

Make recommendations explain their evidence.

Use the manufacturer interval, recorded meter, past faults and observed condition as a review basis. A recommendation needs a service professional’s judgment before scheduling. Missing telemetry should remain visible; an old meter is not a live reading.

Route the finding to the right commercial owner.

Link an upgrade follow-up to the asset, customer, technician and supporting finding. Assign the account owner and retain the outcome. Check for an existing opportunity so repeated reports do not produce duplicate sales work.

WORK THE METHOD THROUGH

Worked service example

Aster's existing VMX 400 has a recorded 2,184 operating hours against a 2,000-hour service interval. The interval supports a service review; it does not diagnose the machine. The technician checks the current meter and condition, records work and safety checks, then links the filtration requirement to EQ-4001 and WO-1082. The service desk reviews the finding before assigning parts or a sales follow-up.

Before the next handoff

  • Can the technician identify the exact machine and assigned work?
  • Is a recommendation distinguished from a diagnosis or customer commitment?
  • Does each parts requirement retain its equipment and work-order reference?
  • Does the next action have a named owner and a review date?
