What is a quote-builder seat?

A quote-builder seat is required for a named user who creates or materially edits opportunities, pricing, scope or proposals. Users limited to viewing, commenting, reviewing or approving do not consume quote-builder seats.

  • Quote-builder seats are assigned to named users and are never simultaneously shared by multiple people.
  • An administrator consumes a quote-builder seat only if that administrator can create or materially edit quote content.
  • A manager who only reviews or approves does not consume a quote-builder seat.
  • A sales user who materially edits pricing, scope or proposal content does consume a quote-builder seat.

Provides ongoing access for one additional legal company or separately branded operating entity under the customer account. Initial entity configuration, data migration and additional workflow configuration are scoped in writing; the entity fee is a recurring platform-access charge, not an unlimited implementation fee.

  • Recurring additions (quote-builder seats, API access, additional entities) follow the account's billing cadence and are prorated through the existing renewal date. They do not create a separate renewal date. Annual-prepay accounts receive the same 12-for-10 economics on a prorated basis; monthly accounts use the full monthly rate.
  • Reductions take effect at renewal unless an Order Form expressly says otherwise, and committed annual opportunity capacity is never reduced retroactively.
  • Opportunity blocks are annual capacity purchases billed in full when added: not prorated, expiring at renewal, never rolling over, and carrying no additional annual-prepay discount.
  • Document overages are measured monthly and billed in arrears.

Annual opportunity capacity

An opportunity is one distinct customer pursuit, project or commercial request tracked in Qwotra. Revisions, alternates, pricing updates, proposal versions and scope changes within the same pursuit do not count as separate opportunities.

  • Opportunity capacity is measured across the subscription year.
  • Unused annual opportunity capacity does not carry into the next subscription year unless an Order Form expressly says otherwise.
  • Opportunity blocks expire at the account's renewal date and do not create a separate renewal date.
  • Opportunity increases are agreed before taking effect. No retroactive opportunity charge is applied.
  • No automatic tier increase occurs without written notice.

Qwotra measures the commercial pursuit, not the number of documents, supplier quotations, revisions or exports inside it.

Monthly processed source documents

A processed source document is one file or connected email body submitted to Qwotra for extraction or analysis. A multi-page file counts as one document. Attachments count separately. A system retry does not count the same unchanged document twice. User-requested processing of a changed or replacement file counts as another processed document. Monthly allowances reset each billing month and do not roll over.

  • Document overages are measured monthly and billed in arrears.
  • Unused monthly allowance does not roll over.
  • An overage never causes an automatic plan change; recurring overage may prompt a plan recommendation in writing.
  • Document overage is intended for unusual spikes, not for expected ongoing volume.

How add-ons are governed

Add-ons bridge limited growth within a subscription term. They are not used to reconstruct or exceed the next published plan. Qwotra recommends the lowest-cost valid configuration before an Order Form is signed.

Standard maximums: Starter grows to 9 quote-builder seats and 160 annual opportunities; Core to 24 seats and 480 opportunities; Scale to 59 seats and 1,450 opportunities. Beyond a plan's standard maximums, the next plan applies. Enterprise capacity beyond its included allowances is governed through the Order Form.

The 30-day launch guarantee

Live and quoting within 30 days of kickoff, or we refund the standard implementation fee and provide the first 90 days of recurring subscription at no charge.

The 30-day clock pauses only when required customer inputs are outstanding: documents, data, decisions, approvals, scheduled training attendance, access to required systems, or other agreed customer responsibilities.

Eligible annual-prepay customers receive a refund of all standard implementation payments already made, cancellation of any unpaid implementation instalment, and a refund or account credit equal to 25 percent of the affected first-year recurring subscription commitment (base subscription plus committed recurring quote-builder seats, API access and entity fees).

Eligible monthly-billed customers receive a refund of all standard implementation payments already made, cancellation of any unpaid implementation instalment, and the first three monthly invoices for the committed recurring subscription waived or refunded.

The guarantee remedies exclude usage overages, opportunity blocks, custom work, data migration, custom integrations, third-party charges and separately scoped services.

Pricing questions

Does the price rise as my business grows?

No. Qwotra never prices on your revenue or your construction volume. Your plan is set by your quote-builder seats, your annual opportunity volume and your normal monthly document volume, and it changes only when you change it.

Is there a per-quote charge?

No. Opportunity capacity is measured by distinct opportunities per subscription year, and revisions, versions and exports inside a pursuit are never counted.

What happens in a busy month?

Opportunity capacity is measured across the subscription year, so an unusually busy quoting month does not change your plan by itself. Source-document processing is measured monthly. If processed source documents exceed the monthly allowance, the published per-document overage applies. Qwotra reviews usage with account owners before the monthly allowance is exceeded.

How is United States pricing set?

United States customers are billed in USD at the published United States list prices. Canadian customers are billed in CAD at the published Canadian list prices. Regional list prices are established independently and are not adjusted during a subscription term for currency movements.

What happens at the end of the initial term?

Before the initial term ends, the customer may renew for another 12-month annual-prepay term at the then-current annual rate. If no annual renewal is signed and neither party cancels, the subscription continues month to month at the then-current full monthly rate.

Is Qwotra Intelligence a separate product?

No. The intelligence generated from your own commercial record is part of every plan.

Can commercial terms vary?

Your signed Order Form records the selected market and billing currency, implementation scope, platform plan, included quote-builder seats, viewer and approval access, company entities, configured workflows, annual opportunity capacity, monthly processed-source-document allowance, recurring add-ons, fees, payment schedule and subscription term, and it controls where it expressly modifies the standard terms.
